Terms and conditions

1. Booking confirmations and payment policy

Golden West Motor Inn accepts major credit cards, including American Express where supported by the motel's payment facilities, and provides EFTPOS facilities.

We do not add payment surcharges for Visa, Mastercard, American Express or eftpos cards. Accepted payment methods will be confirmed before booking.

Guests must provide accurate booking details and valid contact and payment information.

A reservation may not be considered confirmed until the required confirmation and payment or security arrangements have been completed.

A valid credit card may be required for booking security even where payment is made by debit card, EFTPOS or cash, subject to the booking conditions disclosed to the guest.

Where a security bond or deposit is required, the amount and payment method will be communicated before or at the time of booking or check-in.

Accommodation payments, deposits, pre-authorisations and security bonds are separate processes. The amount and timing of any actual charge will depend on the reservation conditions and the payment arrangements agreed with the guest.

Golden West Motor Inn may request suitable identification, such as a driver's licence or other accepted identification, to verify the reservation and the identity of the registered guest. Identification will be handled in accordance with applicable privacy laws.

2. Bedding, children and occupancy policy

Number of guests

Bookings are confirmed for the number of guests specified in the reservation, including adults, children, infants and babies.

Each room has a maximum permitted occupancy. Guests must ensure that the number of occupants does not exceed the room's permitted occupancy or the number specified in the reservation.

Guests who need to change the number of occupants must contact reception before arrival. Additional occupants may incur extra charges and are subject to room availability and occupancy limits.

Failure to disclose additional occupants may result in additional charges or other action permitted under the booking terms and applicable law.

Room rates and additional guests

Unless otherwise specified, advertised base rates apply to two people using one bed.

Additional guest and bedding charges must be quoted and agreed before booking or before an approved change to the reservation.

Where more than one of these charges applies, the charges add together.

Guests must use the beds provided in the room. Sleeping on the floor or bringing portable beds is not permitted unless management has expressly approved an alternative arrangement.

Children and room types

Golden West Motor Inn applies room-specific occupancy and child policies.

Room suitability is determined by the advertised maximum occupancy, available bedding and any objectively justified safety requirements. Children and infants must be included in the booking. Please contact reception if you require additional bedding or a cot. Extra occupants are subject to availability and the room’s permitted capacity.

Guests must contact reception before booking if they are unsure whether a particular room is suitable for their family.

All children, including infants and babies, must be included in the reservation and comply with the applicable room occupancy limits.

A late-arrival fee will apply only if disclosed and accepted before booking or when arranging an optional service.

Early check-in, late check-out and late-arrival arrangements are subject to availability and must be confirmed by management.

3. Excessively dirty rooms and additional cleaning

Guests are expected to maintain their rooms in a reasonable and hygienic condition throughout their stay.

Guests must not leave rooms, bedding, furniture or other furnishings in a condition requiring unreasonable additional cleaning, specialised cleaning or professional treatment beyond normal housekeeping.

Additional cleaning charges may apply where excessive cleaning is reasonably necessary because of the guest's actions or the condition in which the room is left.

Any additional charges will be assessed according to the circumstances and must be reasonable, supported by relevant costs where appropriate, and consistent with applicable law.

Guests are encouraged to report spills, damage or other cleaning issues to reception as soon as possible.

4. Spa rooms

Spa-room bookings are subject to the room’s advertised occupancy and bedding capacity. Children must be supervised by a responsible adult when using spa facilities, in accordance with posted safety instructions.

Guests must follow spa safety instructions and must not leave children unattended near water.

If the booked room cannot safely or lawfully accommodate the number of guests, reception will discuss suitable alternatives. Any transfer and price difference must be explained and agreed, subject to availability and applicable consumer rights.

Any room change will be subject to availability and the applicable booking conditions. Any additional charge or refund will be handled in accordance with the booking terms and applicable law.

Guests must confirm that their room selection is suitable for all occupants before arrival.

5. Room key cards

Guests must return all room keys and key cards to reception at checkout or place them in the designated external key-return box where one is provided.

Guests should notify reception immediately if a key or key card is lost, damaged or not working.

A fee of AUD $100 per lost or unreturned key card may apply where disclosed and reasonably related to replacement or associated costs.

6. Non-smoking policy

Golden West Motor Inn maintains a non-smoking policy inside guest rooms and all other areas designated as non-smoking.

Smoking, including the use of cigarettes, cigars, pipes, e-cigarettes and vaping devices, is prohibited in areas where smoking is not permitted.

Guests must use designated smoking areas, where available, and comply with applicable NSW smoking laws.

A cleaning charge of AUD $250 applies where smoking or vaping occurs in a room, in line with the $250 security bond (section 13).

Serious or repeated breaches may result in appropriate management action, subject to applicable law.

7. Quiet enjoyment and no-party policy

Guests are expected to respect the comfort, privacy and safety of other guests, staff and neighbouring properties.

Parties, functions and disruptive gatherings are not permitted unless expressly approved by management.

Guests must keep noise to a minimum, particularly between 10 pm and 7 am.

Conduct that causes unreasonable disturbance, threatens the safety of others, damages property or interferes with other guests' enjoyment may result in a warning or termination of the stay, depending on the seriousness of the conduct and subject to applicable law.

Guests must not conduct unauthorised commercial activities, events or services on the property.

Where a booking is terminated because of a serious breach, any refund will be determined in accordance with the booking terms and applicable law.

8. Animals and assistance animals

Animals are not permitted inside guest rooms unless management has expressly approved their presence, subject to applicable laws.

Animals may be permitted in vehicles or other designated areas only by prior arrangement and where lawful.

The motel recognises the rights of people accompanied by legally recognised assistance animals. Assistance animals will be accommodated in accordance with applicable disability discrimination and other relevant laws.

Where an animal causes damage or requires additional cleaning beyond normal housekeeping, reasonable and substantiated costs may be recovered where permitted by law.

9. Cooking policy

Cooking in guest rooms is restricted to appliances and facilities supplied by the motel, such as the kettle, toaster and microwave, where provided.

Guests must not bring or use unauthorised cooking appliances, open flames or equipment that creates a fire hazard.

Where communal barbecue facilities are available, guests may use them in accordance with instructions provided by reception.

Cooking equipment and utensils must be used safely and left clean after use.

Additional cleaning or repair costs may apply where misuse of appliances, cooking or food preparation causes damage, excessive cleaning or a safety hazard.

10. Laundry

Laundry services may be available through reception. The service and total price must be agreed before work begins.

Laundry is charged per load.

Applicable laundry charges may be added to the guest's final account or paid at the time the service is requested.

Guests should contact reception for information about laundry availability, collection times and any special requirements.

11. Property damage and missing items

Guests are responsible for taking reasonable care of their rooms, furniture, fixtures, equipment, keys and other motel property.

Damage caused by a registered guest or a person staying in or visiting the guest's room may result in recovery of reasonable repair or replacement costs, where permitted by law.

Guests may also be responsible for reasonable additional cleaning costs arising from damage, misuse or conditions beyond normal wear and tear.

Items belonging to the motel that are missing at checkout may be charged to the guest where there is a reasonable basis to establish responsibility and the charge is lawful.

Management may enter a guest room when reasonably necessary for housekeeping, maintenance, safety, an emergency, suspected damage or another legitimate operational reason, subject to applicable law and appropriate respect for guest privacy.

Where damage is serious, management may take further action as permitted by law.

12. Occupational health, safety and parking

Guests must comply with reasonable safety instructions, parking requirements, fire safety procedures and directions displayed on the property.

Vehicles must be parked only in designated or authorised areas and must not obstruct entrances, emergency access, pedestrian pathways or other vehicles.

Guests must not engage in conduct that creates a safety hazard for themselves, other guests, staff or members of the public.

Guests must follow any applicable vehicle parking instructions, including instructions concerning reversing or parking near room entrances.

Any applicable parking restrictions or safety-related charges must be clearly communicated, reasonably justified and consistent with applicable law.

13. Security bonds

A security bond of AUD $250 per room is required where disclosed before booking.

The bond is intended to cover potential damage, excessive cleaning, missing items, broken property, additional occupants, additional beds or other amounts properly payable under the booking terms.

Where smoking or vaping occurs in a room, the cleaning charge is the flat AUD $250 set out in section 6.

The bond will be requested at check-in. The payment method and applicable conditions will be communicated to guests before they become bound by the booking.

Where the bond is processed as a card pre-authorisation, the amount is held against the available balance by the card issuer. Where the bond is collected as an actual payment, it will be handled in accordance with the disclosed deposit and refund conditions.

After checkout, the room may be inspected for damage, missing items, excessive cleaning, broken property and additional occupants or bedding not included in the booking.

Any deductions must be reasonably justified and supported by appropriate records. We will provide an itemised explanation and relevant evidence, such as photographs, invoices or reasonable cost estimates. You may query a charge using the contact details below. We will not recover the same loss twice. Card charges require a lawful basis and appropriate authorisation under the agreed booking and payment arrangements.

After inspection and account reconciliation, we will initiate release or refund of the undisputed balance promptly. Your bank or card issuer may take additional time to make funds available; we do not control that period.

The motel will not retain a bond amount merely because a guest has stayed at the property.

14. Management discretion and refusal of accommodation

Management may take appropriate action where a guest:

Depending on the circumstances, management may refuse check-in, request that the guest remedy a breach, cancel a reservation or terminate a stay, subject to applicable law and the agreed booking terms.

Management will exercise its discretion reasonably and consistently with its legal obligations. Any cancellation, eviction or refund will be handled in accordance with applicable law.

Group bookings may require additional assessment and written conditions before acceptance.

15. Cancellation, changes and refunds

At the time of making a reservation, all guests will be required to provide a current and valid credit card number NOT debit card to confirm and secure the reservation. Our 48-hour cancellation policy applies to all bookings. Cancellations or changes on the day of arrival or within stay will result in the full amount of the booking being charged to the guest credit card. Credit Card charges are not refundable in the event of cancellation. Failure to read our terms and conditions, including our Covid on entry, will not be an acceptable reason for a full refund. During high demand times such as school holidays, special events such as sports competitions, Easter and Christmas, reservations are taken on a non-refund basis.

Longer cancellation periods (2 weeks) and non-refunds apply for peak periods and these policies are applicable. Group bookings have extended cancellation policies, including a valid credit card and payment in full no less than 2 weeks before. High demand times such as special events (sporting etc.) and long weekends require payment in full at reservation time and are non-refundable. Date movements are permitted subject to motel discretion.

Release, liability and general terms

1. Personal belongings and vehicles

Guests are responsible for taking reasonable care of their personal belongings, valuables, vehicles and other possessions brought onto the property, subject to any obligations imposed on the motel by law.

Guests should use any available safekeeping facilities appropriately and take reasonable precautions to protect their belongings.

2. Liability and indemnity

To the extent permitted by law, guests may be responsible for loss or damage caused by their negligent, unlawful or deliberate actions, including damage caused by people for whom they are legally responsible.

Nothing in these terms excludes, restricts or modifies any consumer guarantee, statutory right, duty or remedy that cannot lawfully be excluded, restricted or modified.

Any limitation of liability or indemnity will apply only to the extent permitted by applicable law and will not remove rights or obligations that cannot legally be excluded.

A guest's accommodation arrangement is governed by the booking terms and applicable law. Nothing in this policy is intended to unlawfully exclude any tenancy, occupancy or other statutory rights that may apply in the circumstances.

3. General terms

These policies should be read together with the reservation confirmation, room description, rate conditions and any additional terms disclosed to the guest before booking.

Specific rate conditions expressly disclosed and accepted before booking take priority over these general terms only to the extent of a direct inconsistency and where lawful. For third-party bookings, the cancellation and payment conditions accepted through that channel apply. These terms do not override non-excludable consumer rights. Later changes require agreement where required by law.

Golden West Motor Inn reserves the right to review and update its policies from time to time. Changes will not retrospectively remove rights or alter confirmed booking conditions where doing so would be contrary to law.

If any provision of this policy is found to be invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
